Today, business succeeds or fails as a result of applying the right technology and software. In all business, information are often being collected and built based on the nature of the work for each client. The problem is, as mentioned earlier, this document management system often fail to document all activities required. This is a real problem when you try to create a single source of information for each customer to build.

The following six functions are needed in any robust document management:

  1. Maintain an archive of electronic documents

  2. Provide a mechanism to ensure documents

  3. Integration with other software solutions are used

  4. Provide a method for setting records in a defined workflow

  5. Supply of monitoring data was four (who, what, where, when)

  6. Meet the statutory requirements (storage, backup, security, etc.)


A worthy goal, and perhaps the number one contributor in making a business more efficient, is to have a single repository that contains all information about a client's work product. Such a system should successfully integrate the product of other applications. There are two points for the integration of EDMS. The first is getting documents into the system. The second is to obtain the documents when necessary and as unobtrusive as possible.

EDMS will provide a good range of document capture solutions (depending on volume) and various modes of electronic documents in the repository. Most are based on standard Windows techniques, such as drag and drop, printing and so on. These approaches can be used by all major applications and are very easy to learn and use. Other tools that can be applied when putting documents into the repository include optical character recognition (OCR), bar code reading and full text indexing. These tools enable automated archiving and retrieval of documents much easier.

No matter which technique of retrieval is being used, it must also enforce all of the security parameters set for that user. This ensures that sensitive information cannot be viewed without authorization and controls access.

Finally, make sure that your EDMS meets the needs of your company. It must provide a great ROI. It should be a robust set of tools that help the business create the system to your needs, your company is not forcing the way you change jobs. The EDMS must integrate with other line-of-business for its success will be determined by society. Finally, ensure that a system designed and built from the ground like an EDMS.
